Job description:

Operational & Strategic Support

– Assist in reviewing business reports, operational updates, and performance dashboards.
– Support in planning, monitoring, and executing strategic initiatives across the organization.
– Conduct research, prepare briefs, and summarize key insights for decision-making.
– Maintain confidentiality of all business information and strategic discussions.

Coordination & Communication

– Facilitate smooth communication flow between the CEO, leadership team, and various departments.
– Ensure deadlines, tasks, and commitments assigned by the CEO are tracked and completed.
– Liaise with logistics partners, clients, and external agencies when required.
– Handle escalations, follow-ups, and urgent matters with a proactive approach.

Administrative & Organizational Tasks

– Draft emails, memos, letters, and internal communication on behalf of the CEO.
– Organize events, reviews, conferences, and business meetings.
– Maintain documentation, reports, and confidential files.
– Support in managing special projects as assigned by the CEO.

Required Qualifications & Skills

– MBA from a recognized institute (mandatory).
– 2–5 years of experience as Executive Assistant, Business Analyst, or in a coordination role preferably in the logistics industry or a large corporate environment.
– Strong understanding of logistics, supply chain processes, or operational workflows.
– Excellent communication, presentation, and interpersonal skills.
– Proficiency in MS Office (Excel, PowerPoint, Word) and business communication tools.
– High level of professionalism, discretion, and problem-solving ability.
– Ability to multitask, prioritize, and work in a fast-paced environment.

Executive Assistant to Managing Director

Job description:-

1. Executive Support:

* Manage the Director’s calendar, schedule meetings, and coordinate appointments with clients, vendors, and internal teams.

* Handle confidential correspondence, prepare business letters, and draft communication for management.

* Maintain and organize records, files, and critical business documents.

* Prepare presentations, reports, and meeting notes as required.

Logistics Coordination:

* Support daily logistics operations including import/export documentation, shipment tracking, and coordination with CHA (Custom House Agents), freight forwarders, and shipping lines.

* Monitor shipment schedules and ensure timely dispatch, delivery, and clearance.

* Follow up with clients, transporters, and internal departments for smooth operations.

* Maintain MIS reports for shipments, container movement, and customs filing status.

Documentation & Compliance:

* Ensure all import/export documentation (Invoice, Packing List, Bill of Lading, e-Sanchit, BOE, Shipping Bill, etc.) is complete and accurately filed.

* Coordinate with the customs department for document submission and clearance updates.

Assist in preparing checklists for import/export jobs based on HS codes and regulatory requirements.

Communication & Coordination:

* Act as a point of contact between management and internal departments.

* Liaise with clients and vendors for queries, follow-ups, and updates.

* Maintain professional communication across all channels -phone, email, and in-person meetings.

Administrative Functions:

* Handle expense reports, travel arrangements, and reimbursements for management.

* Support management in vendor management, performance tracking, and procurement coordination.

* Ensure office operations run smoothly, maintaining confidentiality and efficiency.
